Review what was actually used

Compare recent sales or issue records with stock on hand. Repeated demand makes an item worth considering for regular stock; a one-off high-value request needs a separate decision. Update the purchase list when the customer base or fleet mix changes.

Subtract stock committed to orders

The total in a stock record may include goods committed to customers. Distinguish allocated stock from what is available for a new order. Record available quantities, confirmed demand and replenishment timing together, rather than relying on a warehouse total.
